Jetpack Workflow allows you to make broad changes across the platform quickly, which can be a highly useful feature. However, it's important to understand how these changes might affect related projects to avoid unintended consequences.
Please note that the changes discussed in this article will only affect projects and entries in projects that are not yet started. Any edits you make will not impact projects that are currently in progress or already completed. We ensure that completed and in-progress projects remain unchanged.
Impact of Editing Templates
Templates are a powerful tool, especially for managing projects with similar steps across multiple clients. They can save time and ensure consistency, particularly when your workflows or processes change.
However, it's important to understand that editing an existing template will affect any projects created from that template, including any project series you have set up for a client. The changes will only apply to the specific areas you've updated—such as tasks, project descriptions, or task assignments.
For example, if you remove a task from a weekly bookkeeping template, that change will be reflected in all projects created from that template. However, it will not affect projects that are already in progress or completed. Only the specific fields you modify will be updated.
Not sure which clients could be effected by any changes you enact by editing a template? To the right of the screen, while in a template, you'll see each associated client.
Impact of Editing Series
Edits made to a project series will affect all entries that have not yet started. For example, if you edit a quarterly tax preparation project by adding a task to collect payment from a client, that change will apply to all upcoming instances of the series. However, projects that are in progress or completed will remain unaffected.
Impact of Editing an Individual Project
Editing a single entry within a recurring project series is simple and won't affect other entries in that series by just editing the one entry. For example, if a team member assigned to a task is out of office for a future entry in the series, you can easily update the assignee for that specific entry to someone who is in office. The change will only apply to that one occurrence, leaving the rest of the series unchanged.
Please note, any changes made to the entire project series or the template the project was based on (e.g., task assignee, project description, task time estimates) will override existing fields in all entries. However, any instances of additional stand alone tasks within an entry in the series will not be impacted as that field did not exist in the entire project series or the template it was created from.
