Use a custom schedule when the preset options don't match how often your work repeats. With a custom schedule you can set work to repeat every quarter, every other week on Tuesdays and Thursdays, on the 2nd Monday of each month, on the last day of the month, and more.
Open the custom schedule
Start creating work in one of two places:
On a template
In the Assign work flow on the Clients tab
Click the Frequency dropdown menu.
Select Custom.
The custom scheduler window opens. Set your schedule using the steps below, then click Save.
Set how often the series repeats
Under Repeats every, choose a unit from the dropdown: Day(s), Week(s), Month(s), or Year(s). Then enter a number in the box to the left to set the interval.
The number and unit work together. For example:
1 Week(s) = every week
2 Week(s) = biweekly
3 Month(s) = quarterly
6 Month(s) = semi-annually
The options below the dropdown change depending on the unit you pick.
Daily schedules
When you choose Day(s), work repeats every day. The interval is fixed at 1.
To skip Saturdays and Sundays, check Exclude weekends. To create work only on specific weekdays, such as Monday, Wednesday, and Friday, use Week(s) instead.
Weekly schedules
When you choose Week(s), select the day or days the work should be due using the buttons M, T, W, Th, F, Sa, and Su. You can select more than one day, and you can change the interval, for example 2 Week(s) for every other week.
For example, to create work every Tuesday and Thursday, set Repeats every to 1 Week(s) and select T and Th.
Monthly schedules
When you choose Month(s), you can schedule work in one of two ways:
Days of the month: pick one or more dates of the month, such as the 15th. You can select multiple dates, for example the 15 and Last day.
Days of the week: pick a weekday and its position in the month, such as the 2nd Monday or the last Friday.
Use Last day instead of the 29th, 30th, or 31st
If you want work due at the end of every month, select Last day, not 29, 30, or 31. A series only creates work in months that contain the date you select. For example, if you select 31, no work is created in February, April, June, September, or November.
Last day always uses the final day of each month, whether that's the 28th, 29th, 30th, or 31st.
Yearly schedules
When you choose Year(s), work repeats once a year. The interval is fixed at 1. [Confirm: the yearly due date is based on the series start date.]
To schedule work twice a year, use 6 Month(s) instead.
Exclude weekends
Series that repeat by Day(s), Month(s), or Year(s) can exclude weekends. What happens depends on the unit:
Day(s): No work is scheduled on Saturdays or Sundays.
Month(s) and Year(s): A due date that falls on a Saturday or Sunday moves to the preceding Friday.
Weekly schedules don't have this option, since you choose the days yourself.
For monthly series, this option is available when you schedule by Days (dates of the month). It isn't needed for Days of the week, since you already choose the weekday.
Example: you schedule work monthly on the 15th with Exclude weekends checked. If the 15th falls on a Saturday or Sunday, the work is due on Friday the 14th or 13th instead.
Set an end date and save
By default, Indefinitely is checked, so the series repeats with no end. To stop the series on a specific date, uncheck Indefinitely and choose an end date.
When your schedule is set, click Save.
Common custom schedules
Every weekday: 1 Day(s), with Exclude weekends checked
Every Monday, Wednesday, and Friday: 1 Week(s), select M, W, F
Every Tuesday and Thursday: 1 Week(s), select T, Th
Every other Monday: 2 Week(s), select M
On the 15th and the last day of each month: 1 Month(s), Days: 15 and Last day
On the 2nd Monday of each month: 1 Month(s), Days of the week: 2nd Monday
Quarterly, on the last day of the month: 3 Month(s), Days: Last day
Twice a year: 6 Month(s), Days: the date you want
Once a year: 1 Year(s), with Exclude weekends optional
FAQ
Why didn't my series create work this month? If you selected the 29th, 30th, or 31st, the series skips months that don't have that date. Edit the schedule and select Last day instead.
Can I pick more than one day? Yes. Weekly schedules let you select multiple days of the week, and monthly schedules let you select multiple dates, such as the 15th and Last day.
Does Exclude weekends move work to Monday? No. For daily series, weekend days are skipped. For monthly and yearly series, work that would fall on a Saturday or Sunday moves to the preceding Friday.
Why can't I change the number for Day(s) or Year(s)? Daily and yearly series always repeat every 1 day or 1 year. For specific days of the week, use Week(s). For twice a year, use 6 Month(s).
What if the 1st of the month falls on a weekend and Exclude weekends is on? The work moves to the last Friday of the previous month. For example, if March 1 falls on a Saturday, the work is due on Friday, February 28.
Does Exclude weekends account for holidays? No. It only applies to Saturdays and Sundays.
Can I change a custom schedule after the series is created? Yes, you can change the schedule when you update the series. Many teams find it simpler to end the existing series and create a new one with the new schedule.
