Capacity Management - Yearly View

The Yearly view in Capacity Management gives you a bird's-eye view of your team's scheduled work across multiple months, so you can spot capacity trends and dig into specifics without switching screens.

Accessing the Yearly View

  1. Navigate to Capacity Management.

  2. At the top of the page, select Yearly (next to Weekly).

Reading the Table

The Yearly view lays out your team by row and time by column, broken into weekly segments grouped under each month.

  • Team member rows: Each row represents a team member. The number badge next to their name shows their weekly capacity/hours target. Team Member capacity can be set under the Firm Members tab.

  • Week columns: Each column represents a single week, labeled with its start date and grouped under the corresponding month header (Jun, Jul, Aug, etc.).

  • Cell values: The number in each cell shows the work scheduled for that team member during that week.

Over-Budget Indicator

If a team member's scheduled work for a given week exceeds their weekly capacity target, that cell is highlighted in orange/red as a warning. For example, if a user's capacity is set to 24 hours and he's scheduled over that in a given week, that cell will display in orange/red to flag the overage.

Viewing Weekly Details

Click any cell to open the detail drawer at the bottom of the screen. The drawer shows a breakdown of scheduled work for that person during that specific week, including:

  • Client: The client associated with the assigned work

  • Assigned Work: The specific project or task

  • Assignee: Who the work is assigned to

  • Status: Current status (e.g., Not Started, In Progress)

  • Due Date: When the work is due

  • Actuals: Actual time logged against the work

  • Budget: Budgeted time for the work

  • Project Labels: Any labels associated with the project

The drawer can be pulled up to expand or pushed down to make it smaller. It is also fully inline editable so you can update due dates, assignees, labels and other fields as needed directly in this view!

Comparing Multiple Weeks or Team Members

You can click multiple cells to open several tabs at once in the detail drawer. This is useful for comparing:

  • One team member across several weeks (e.g., to see how their workload trends over time)

  • Several team members within the same week (e.g., to compare workloads across the team)

Each selected cell appears as its own tab at the top of the drawer, showing the team member's name, the week, and their scheduled hours vs. capacity. Click the X on a tab to close it, or click the X at the far right of the drawer to close all tabs.

To close the drawer, click the X in its top-right corner.

Viewing Capacity by Client

Click the arrow to the left of a team member's name to expand their row. This breaks down their scheduled work by client, showing hours scheduled per client for each week. Click the arrow again (now pointing down) to collapse the row.

Toolbar Buttons

Use the tools in the top-right of the Yearly view to:

  • Open the weekly detail drawer for the currently selected cell

  • Filter the table view

  • Toggle date labels between calendar dates and week numbers

  • Display only team members/weeks that are over capacity

  • Export the current view

Search

Use the search table field at the top-left of the view to quickly find a specific team member.
