Project Custom Fields
Project custom fields let you store additional information on a project (or project series) that isn't captured by Jetpack Workflow's default fields. They're flexible enough to track almost anything specific to a project or recurring series - from in and out dates to extension deadlines to the team member acting as reviewer - and once created, they're available as columns and filters on the Projects page, making it easy to slice and sort your work by the things that matter to your firm.
Unlike client custom fields, which store information at the client level, project custom fields are tied to the project or series itself - so the same client can have different values across different projects, and recurring series can carry field values forward engagement to engagement.
You can create up to 10 project custom fields per account. Custom fields are created and managed by admins or any user with the custom fields permission enabled.
Field Types
There are several field types to choose from. Picking the right one depends on what kind of data you're storing.
Text Field A freeform field where you can enter any text value. Best for information that's unique to each project with no fixed set of options - things like an engagement letter number, a filing reference, or internal notes.
Dropdown Single-Select A field with a predefined list of options where only one can be selected at a time. Best for anything with a single definitive answer per project, such as filing status or a yes/no field. You can create up to 50 options per dropdown.
Dropdown Multi-Select A field with a predefined list of options where multiple can be selected at once. Best for projects that might fall into more than one category - forms filed, software platforms used, or services included, for example. You can create up to 50 options per dropdown.
URL Link A field for storing a clickable web address. Useful for linking to a shared workpaper folder, an e-file confirmation, or another resource tied to that specific project or series.
Firm Member Single-Select A field that automatically populates with your active team members and lets you select one per project. Best for tracking internal roles like preparer or reviewer - without affecting task assignments. This keeps role tracking separate from day-to-day task management.
Firm Member Multi-Select A field that automatically populates with your active team members and lets you select multiple per project.
Date Picker A field that populates with a date picked via a calendar. Ideal for dates specific to a project or series, such as in date, out date, or extension deadline.
Pill Single-Select Works just like Dropdown Single-Select, but the field is assigned a color, so the selected option displays as a color pill in tables for easy scanning.
Pill Multi-Select Same as Pill Single-Select, but you can select multiple options at a time. Each selected option displays as its own colored pill.
Badge Single-Select Works like Pill Single-Select, but instead of one color for the whole field, each option in your list can be assigned its own distinct color. Only one option can be selected at a time.
Badge Multi-Select Combines Badge Single-Select's per-option coloring with multi-select - each option in your list has its own color, and you can select multiple options at once, each displaying as its own colored badge.
Where Project Custom Fields Appear
Once created, project custom fields can appear in several places across the app:
On Individual Project profiles
On a Series page
As editable columns on the Projects table
Sensitive Fields
When creating a custom field, you have the option to mark it as sensitive. Sensitive fields are hidden by default on a project's profile - the value is masked and requires a click to reveal. Anyone with access to the project profile can reveal a sensitive field, but sensitive fields are excluded from search and filters across the app.
Use this for information you want to keep out of plain view.
Things to Know
Fields are ordered alphabetically. Custom fields display in alphabetical order by field name on project profiles and throughout the app. Keep this in mind when naming your fields if a particular order matters to you.
Deleting a field is permanent. If you delete a project custom field, all data stored in that field across every project is permanently removed and cannot be recovered. Make sure you no longer need the data before deleting.
The 10-field limit applies account-wide. All project custom fields count toward the same limit regardless of type, so plan your fields thoughtfully to make the most of them.
Fields carry across a series. Because project custom fields are built to live at the project or series level, values you set for a recurring series can stay associated with that series over time - useful for things like a URL link you use each time you do this project or a reviewer assignment that shouldn't need to be re-entered every cycle.
