Document Storage

Document Storage lets you upload and keep files directly on client profiles and projects, and attach files to comments on projects, tasks, and clients. Your files stay next to the work they belong to, so your team doesn't have to hunt through email or other tools.

What you need to get started

Document Storage is a separate add-on and isn't included by default. It can be added to any existing Jetpack Workflow plan. Once it's added to your account, the file storage areas and the attach file icon appear automatically for your team.

To add it, go to your Billing page and select the Document Storage add-on.

If your account already has document storage and you don't see file storage or the attach file icon, the add-on probably isn't enabled on your account yet. See the FAQ below.

Where you can store files

You can store files in two places:

  • Client profiles: keep client-level documents such as contracts, agreements, and brand assets on the client's profile.

  • Projects: keep project files such as briefs, deliverables, and reference material with the project itself.

Attaching files to comments

You can also share files as part of a conversation. When Document Storage is enabled, an attach file icon appears next to the comment box in these places:

  • Project comments

  • Task comments

  • Client comments

To attach a file to a comment:

  1. Open the project, task, or client where you want to comment.

  2. Click the attach file icon next to the comment box.

  3. Select the file you want to upload.

  4. Add your comment text if you'd like, then post the comment.

Where your files appear

You don't need to upload a file twice. Files are shown automatically in the places where your team would expect to find them:

  • Client Files section: any file uploaded to one of a client's projects, a project comment, or a task comment appears automatically in the Files section on that client's profile. This gives you one place to see everything related to a client.

  • Project Files section: any file attached in a project comment or a task comment also appears in that project's Files section.

For example, if a teammate attaches a draft to a task comment, that file will show in the project's Files section and in the Files section of the client the project belongs to.

It will be noted comment file, project file, client file etc. depending on the original upload location of the document.

Viewing, downloading, and deleting files

What each person can do depends on their permissions:

  • View: see the files stored on a client, project, or task, and in comments.

  • Download: save a copy of a file to your device.

  • Upload: add new files to storage or to a comment.

  • Delete: permanently remove a file.

Permissions

Access to files is controlled by two permissions: Files and Update. The same rules apply at both the project level and the task level.

Files permission removed: The user cannot view files at all, regardless of their Update permission.

Files permission enabled, Update permission off: The user can view and download files in the app, but cannot upload or delete them.

Files permission enabled, Update permission on: The user can view, download, upload, and delete files.

Tip: If you want a teammate or collaborator to reference files without changing them, enable the Files permission and leave Update off. If someone shouldn't see files at all, remove the Files permission.

Storage limits and usage

Each team account has a storage allotment. The Document Storage add-on includes 100 GB of storage.

When your account is close to its limit, account owners and admins are notified so they can free up space or purchase more storage. If you reach your storage limit, all document upload buttons are disabled and when you mouseover, you will see this:

Your firm has reached its full Document Storage limit. Please purchase additional storage.

Adding more storage

You can buy additional storage in multiples of 100 GB. To do this, go to your Billing page and update your Document Storage add-on.

FAQ

I don't see the attach file icon. Why?
The add-on may not be enabled on your account. Ask your account owner or admin to check the Billing page. If your account has document storage, then your permissions might be restricted.

Can I open or preview a file in the app?
No. Files can't be opened in the app. Download the file to your device to open it.

Why can I see files but not upload or delete them?
You have the Files permission but not the Update permission. Ask your account owner or admin to update your permissions.

Why can't I see any files at all?
The Files permission has been removed from your user. Ask your account owner or admin if you need access.

Who gets notified when we're running out of storage?
Account owners and admins.

Can I buy less than 100 GB of additional storage?
No, storage is sold only in 100 GB increments.

How do I know how much storage my account has used?

Under your billing page you can see your current usage under the document storage add on section!
